Public Share
This documentation describes the Public Share feature, which allows users to share windows publicly through a link or by email, with customizable options for access control and data entry.
Configuring Public Share
With Public Share, users can specify settings to control access and permissions for publicly shared windows. Key configuration options include:
- Select Window: Choose which window you want to share publicly.
- Expiration: Set an expiration date for the public link.
- Enable Edit: Allow or restrict edit permissions for users accessing the window.
- Maximum Records: Define the maximum number of records that can be submitted by the user.
- Invite by Email: Share access to the window by sending an invitation via email.
Public Link Generation and Access
Once the public share link is generated, the following process is required for access:
- Enter Email: Users must provide their email address to access the shared window.
- OTP Verification: Upon entering their email, users receive a one-time password (OTP) that they must enter to verify their identity.
- Data Entry: After successful OTP verification, users can access the window and submit data according to the specified permissions (e.g., maximum records, edit access).
Example:
Given a window named "Feedback Form" that needs to be shared publicly:
-
Settings:
- Select Feedback Form as the window to be shared.
- Set Expiration to one week.
- Enable Edit to allow respondents to modify their entries.
- Set Maximum Records to 5.
- Choose Invite by Email to restrict access to specific individuals.
-
Access Flow:
- A public link is generated for the Feedback Form.
- When accessing the link, a respondent enters their email.
- An OTP is sent to their email for verification.
- Upon verification, the respondent can submit their feedback, with up to 5 entries allowed.
Use Cases
Public Share is useful in scenarios requiring external data collection or feedback from individuals who do not have internal access. By enabling expiration, OTP verification, and record limits, Public Share ensures secure and controlled access to shared windows.
